This video shows how to activate the staff profile pop up.
The staff profile pop up is particularly useful when you are adding new users to your biometric device and need to confirm the payroll number, sometimes also called staff number or employee number, or when you want to double check the contact details held for a particular member of staff.
Navigation: log into the platform > select Rota from the menu on the left > select venue/department > select a rota (View Rota or Build New Rota).
(1) Find your target staff member from the staff column on the far left. Right-click on the name > select View Profile.
(2) This will bring up an overlay window. Here we can view details about the staff member:
(a) Staff No.: The staff number is sometimes also called Employee Number or Payroll Number. They all refer to the same thing. The staff number is unique within your organisation.
Note, that this staff number is also the number you will enter for the user registration as the User ID on any biometric devices you use in conjunction with ShopWorks.
The user number - user ID allows the device and the platform to match the scans with the correct staff member. It is important to look up the staff number before you register a new user on the biometric device.
(b) Gender: The gender may be male, female, or undisclosed.
(c) Overtime Preference: This shows whether the staff member indicated a preference regarding working overtime. If the box is checked, then the staff member would appreciate overtime. If the box is empty the staff member is not keen on overtime.
(d) Staff Name: This lists the staff member's name. It allows you to make sure the correct staff profile pop-up has been activated.
(e) E-Mail: This is the private email address of the staff member. The staff profile pop up is a useful functionality to double check whether the staff member's email address is still current. Please, note that the process of updating out of date email addresses varies between companies. It is safe to assume that you should contact your HR or Payroll department for this.
(f) Start Date: This is the date the staff member started working for the company.
(g) Mobile Number: The staff members mobile phone number is listed here if it was given. The staff profile pop up is a useful functionality to double check whether the staff member's mobile number is still current. Please, note that the process of updating out of date mobile numbers varies between companies. It is safe to assume that you should contact your HR or Payroll department for this.
(h) Department: Department normally refers to the location of the shop, i.e. Flagship Liverpool or Covent Garden.
(i) Position: Position describes the Job Title a staff member holds.
(j) Contracted Days: This specifies how many days per week a staff member is contracted to work for the company.
(k) Venue: The venue is a cluster of multiple departments. Often venues are regionally grouped.
(l) Contract Type: Staff could be Casual, Hourly, or Salaried.
(m) Division: If the Department has been sub-divided into Divisions, i.e. Management, Front of House, etc, then the division will be listed here.
(n) Contracted Hours: These are the hours per week the staff member is contracted to work.
